How does the access system in devtodev work?

The first thing that a developer needs to do when integrating into devtodev is to create a working space (Space). The Space is later used to add projects, new users and set their roles. One person can have access to several spaces.

What types of access are possible in devtodev?

There are three access roles:

  1. Owner - the creator of the Space. Only one person can be the Owner. The Owner has access to all tools within the Space and can add and edit users with Admin and User roles. Only the Owner can delete apps from the Space and the Space itself. Only the Owner can change the price plan and work with billing.

  2. Admin - the administrator of the Space. The Admin has access to all tools within the Space and can add and edit users with the User role.

  3. User - the user of the Space. The User has access to all tools that were given to him by the Owner or Admin. The User cannot invite other people to the Space, create and edit user segments. This means that if you have no access to segments, it is most likely that you have the User role. You can ask the Owner or Admin to make segments or change your role.

 

How to check my role?

Press your account in the top right corner of the page and select ‘Space’.

You will see the basic information about the Space, the price plan and the creator of the Space (if you want to change anything in the Space, you need to ask this person). Your role can be found below.

If you are the Owner of the Space, you will see the “Edit space” button. Press it in order to make any changes.

If you have access to more than one space, the list of them will be shown on the left.

 

I would like to invite my colleagues to devtodev. I want to change the access rights for my colleagues. What do I need to do?

If you are in the User role, ask the Owner or Admin to do it.

If you are the Owner or Admin, complete the following steps:

  1. enter the Space (by pressing your account in the top right corner of the page)

  2. choose the Space, in which you want to make all subsequent changes

  3. press ‘Team’ in the chosen Space

You entered the team management menu.

In order to invite a new user press the button with the ‘+’ sign in the top right corner of the page.

The menu will open, where you need to:

  • enter the email of the user to whom you would like to give access;

  • assign the user’s role (you can assign only the role that is lower than yours)

  • if you have previously created groups of user access, you can put the user into an already existing group;

  • if you have previously created different access settings to metrics, here you can specify the required level of access (access to all metrics is given by default)

 

There are two ways of editing an existing user.

Select the user in a table and put a tick.

Thus you will be able to delete the user, add or remove them from the group.
If you press the name of the user in the table, the menu will open, where you will be able to manage user access settings to different metrics and apps.

In order to change the user role, add or remove the user from the group, share access settings to metrics, press the ‘Edit’ button. In the table below you can mark which apps in your Space you would like to give access to.

 

What is a user group?

It is an auxiliary (optional) entity, which can be used to set the same access rights to several users (otherwise, you would have to enter each user separately and set their access rights individually).

In order to add a group, press the ‘Add group’ button and write the name of the group.

To edit the group press its name in the table, then press the ‘Edit’ button. You will then be able to add access settings to apps and add new users to the group.

 

How to manage access to metrics?

devtodev system suits well for working in a team with diverse roles. devtodev can provide valuable insights for analysts, marketers, financiers, game designers, producers, etc. Therefore, the system allows you to set access to metrics (for example, you can hide financial metrics from a programmer, but make them accessible for a financier or producer).

In order to manage access to metrics you need to:

  1. enter the Space (by pressing your account in the top right corner of the page);

  2. choose the Space, in which you want to make all subsequent changes;

  3. press ‘Metric access’ in the chosen Space.

Here you can create different roles and choose which metrics will be accessible to them. Later when creating and editing users you will be able to assign a particular role to them right away. Access to all metrics is given by default.

If some metric is not accessible to the user, they will not be able to choose it in the report. If there are several metrics in the report (both accessible and inaccessible to the user), they will be able to see only accessible metrics.

How to manage access to apps?

Earlier we were talking about managing access within the Space, but devtodev allows you to set access rights to separate apps.

You can do it if you are the Owner or Admin. Enter the app in My Apps, press ‘Settings’ and choose ‘Access’ in the menu.

You will see the menu, which is similar to the menu of access settings within the Space.

Access ticks here are inherited from the group and from the access to the Space.

Here you can add access to the app for new users (by putting a tick), as well as remove the access (by replacing a tick with a red cross).

 

How to manage access to reports and dashboards?

You can create and edit custom reports and dashboards in the Reports and Dashboards sections. It is also possible to share reports and dashboards you have created.

In order to share a report or dashboard, enter the necessary section, choose the report or dashboard you are interested in and press the ‘Share’ button.

Put a tick for those users to whom you would like to give access.

Attention! If users don’t have access to one or several metrics from the report/dashboard, they will be able to see only metrics they have access to.
